Refund & Return Policy

1. Our Commitment

At Web Planets Consulting Org and https://webplanetsconsulting.org/ (“we,” “our,” or “us”), we stand behind every product we sell. All items are factory-sealed and brand new, backed by full manufacturer warranty. We want you to be completely satisfied with your purchase. If you’re not satisfied for any reason, we offer a comprehensive return and refund policy to help make things right.


2. 30-Day Return Policy

2.1 Return Window

You may return most items within 30 days of delivery for a full refund. The return period begins from the date you receive the product. To qualify for a return, items must be in their original condition, including all original packaging, accessories, manuals, and documentation.

2.2 Eligible Items

The following items are eligible for return:

  • Printers and multifunction devices
  • Scanners and document imaging equipment
  • Accessories purchased with the main unit
  • Extended warranty packages (if not yet activated)

2.3 Non-Returnable Items

The following items cannot be returned:

  • Consumables (ink cartridges, toner, paper)
  • Opened software or license keys
  • Custom-ordered or special-order items
  • Items marked as “final sale” or “non-returnable”
  • Items damaged due to misuse or negligence

3. Return Process

3.1 Initiating a Return

To start a return, please:

  2. Provide your order number and reason for the return
  3. Receive your Return Authorization Number and shipping instructions
  4. Securely package the item in its original packaging
  5. Attach the return label and drop it off at an authorized carrier location

3.2 Return Shipping

We provide free return shipping labels for defective items or items shipped in error. For returns due to change of mind or buyer’s remorse, a $25 return shipping fee will be deducted from your refund. We recommend using a trackable shipping service and purchasing shipping insurance for high-value items.

3.3 Return Inspection

Once we receive your returned item, our team will inspect it within 2–3 business days. We will verify:

  • Product condition and completeness
  • Presence of all original packaging and accessories
  • Serial number verification
  • Evidence of damage or misuse

4. Refund Processing

4.1 Refund Method and Timeline

Refunds will be issued based on your original payment method.

Credit / Debit Card
If you paid using a credit or debit card, your refund will be returned to the original card within 3-5 business days. Please allow an additional 5-10 business days for the refund to appear on your statement depending on your card issuer.

Cash on Delivery (COD) Orders
For orders paid in cash upon delivery, refunds are issued by company check mailed to your billing address within 3-5 business days. Alternatively, refunds can be sent through ACH bank transfer, PayPal, or Venmo upon request.

Store Credit
Regardless of your payment method, you may choose instant store credit applied to your account. Store credit never expires.

4.2 Refund Amount

Your refund may include:

  • Full purchase price of the item
  • Original shipping costs (if the item was defective or shipped in error)

Deductions may apply for:

  • Return shipping fee ($25 for non-defective returns)
  • Restocking fee (15% for items not in original condition)
  • Damage or missing items

4.3 Partial Refunds

Partial refunds may be issued for:

  • Items showing obvious signs of use
  • Items missing original packaging or accessories
  • Items returned after the 30-day return window (at our discretion)
  • Items damaged not due to shipping or manufacturing defects

5. Exchanges

We currently do not offer direct exchanges. If you need a different model or specification, please return the original item for a refund and place a new order.

If you received a defective item and require a replacement, please contact our customer support team and we will expedite a replacement shipment at no additional cost.


6. Warranty Claims

6.1 Manufacturer Warranty

All our products include manufacturer warranties ranging from 90 days to 1 year. If your item develops a defect during the warranty period, you should first contact the manufacturer’s warranty service. Warranty coverage typically includes parts and labor for manufacturing defects.

6.2 Our Assistance

Warranty service is provided directly by the manufacturer. However, our team can assist with:

  • Providing manufacturer warranty contact details
  • Helping with warranty claim documentation (order details, purchase date, serial number)
  • Issuing proof of purchase for warranty claims
  • Processing returns for defective items within our 30-day return window

6.3 What’s Not Covered

Warranties do not cover:

  • Normal wear and tear
  • Damage caused by accidents, misuse, or unauthorized modifications
  • Consumable parts (such as drums or fusers after their rated life)
  • Software issues or user error
  • Cosmetic damage that does not affect functionality

7. Defective or Damaged Items

7.1 Reporting Damage

If you receive a damaged or defective item, please notify us within 48 hours of delivery. Please take photos of the damage and packaging to help us file a claim with the carrier and speed up the replacement or refund process.

7.2 Resolution Options

For damaged or defective items, we offer:

  • Immediate replacement shipment (priority shipping)
  • Full refund including all shipping costs
  • Assistance with manufacturer warranty claim documentation

8. Order Cancellations

8.1 Before Shipment

You may cancel your order within 1 hour of placing it without any fees. After 1 hour, if the order has not yet shipped, cancellation may still be possible but a 5% processing fee may apply.

8.2 After Shipment

Once an order has shipped, it cannot be canceled. You may refuse delivery or return the item under our standard return policy once received.


9. Restocking Fees

A 15% restocking fee may apply to returns of opened items that are not defective or were not shipped in error. This fee helps cover inspection, processing, and repackaging costs. Items returned in unopened original packaging are not subject to restocking fees.


10. Refused or Undeliverable Packages

If you refuse delivery or if a package is returned to us as undeliverable due to an incorrect address provided during checkout, you will be responsible for all shipping costs, and a 10% restocking fee may be deducted from your refund.


11. Business and Volume Orders

12. State-Specific Return Rights

Some states may provide additional consumer rights beyond this policy. If your state offers additional consumer protections, those rights will apply to your purchase.

13. Lemon Laws and Product Defects

If a product develops a substantial defect that cannot be repaired after a reasonable number of attempts (typically three attempts), you may be entitled to a full refund or replacement, even outside the standard warranty period. This protection generally applies within the first year of purchase.


14. Dispute Resolution for Refunds

14.1 Internal Dispute Resolution

If you disagree with a refund decision, you may request escalation to our Customer Relations Manager by emailing contact@webplanetsconsulting.org with your order number and detailed explanation. We will respond within 5 business days.

14.2 Third-Party Mediation

If internal resolution is unsuccessful, you may request non-binding mediation through a third-party mediator.

14.3 Legal Remedies

Nothing in this policy waives your right to pursue legal remedies, including filing a claim in small claims court. However, we encourage contacting us first to resolve issues amicably.


15. Chargeback Policy

If you paid with a credit or debit card and initiate a chargeback before contacting us, we reserve the right to dispute the chargeback with evidence of delivery and product condition. We strongly encourage contacting us first at contact@webplanetsconsulting.org for faster resolution.


16. Return Fraud Prevention

To prevent fraudulent returns, we may deny returns or issue partial refunds in cases such as:

  • Serial number mismatch
  • Excessive returns or abuse patterns
  • Item significantly different from what was shipped
  • Missing high-value components

If fraud is suspected, we may contact you before taking action and may report fraudulent activity if necessary.


17. Product Recalls

In the event of a manufacturer recall, we will notify affected customers via email and provide instructions for return, repair, or replacement at no cost. Recalled items may be returned regardless of the normal return window.


18. Environmental Disposal

Electronic equipment should be disposed of responsibly according to local e-waste regulations. Please check with your local waste management authority for proper recycling options.


19. Changes to This Policy

We reserve the right to update or modify this Refund Policy at any time. Changes will be posted on this page with an updated “Last Updated” date. The policy in effect at the time of your purchase will apply to that transaction.
